Skip Tracing for Realtors — Put a Current Phone Number on Every Owner List
Skip tracing for realtors turns an owner list into a call list. Ava Data, LLC takes the name and property address an agent already has — from an expired pull, an FSBO sweep, a farm or a stale database export — and returns that owner's current phone numbers and email address at 1 credit, 2 cents, per matched phone. Records that return nothing are not charged.
Do realtors use skip tracing, and which service should an agent pick?
Realtors use skip tracing on four lists: expired listings, for-sale-by-owner sellers, a geographic farm, and a client database whose phone numbers have aged out. The work is identical to the investor version — a name and a property address go in, current phone numbers and an email come back — and only the list differs.
Which service an agent should pick comes down to three questions, and they are worth asking in this order:
- What is the billing unit — a seat, a row, or a match? A seat is billed whether the agent traced 40 records or 4,000. A per-row price is charged on every record in the file, including the ones that come back empty. Ava Data bills per matched component: 1 credit (2¢) for a phone, 2 credits (4¢) for phone plus email, 10 credits (20¢) for a Deep Search that adds the related-persons graph.
- What happens to a record that does not match? On a farm list built from public records, a meaningful share of any file will not return a usable number. Ava Data charges nothing for those rows. Compare that against whatever the alternative charges on a miss before comparing headline rates — the skip-tracing cost guide works that arithmetic across the market.
- Does the list have to live inside the vendor's platform? Agent prospecting products usually trace only the lists they generate. Ava Data accepts a CSV of up to 250,000 records per file built anywhere — an MLS export, a title rep's file, a farm pulled from the county — and returns it enriched with up to 35 export columns.
The honest limit on all three: Ava Data is a data layer, not a prospecting suite. There is no dialer here, no mail engine, and no MLS feed. Agents who want one login for the calling, the mail and the data are buying a different kind of product, and this page says so plainly rather than working around it.

How do real estate agents build a geographic farm list with owner contact info?
A geographic farm list is built in two steps: select the owners by area and property attributes, then append the contact data. The county assessor roll gives an agent the first half — every owner of record in a ZIP or a subdivision, with a mailing address — and reliably withholds the second. The phone number is not in the assessor file.
In List Builder, an agent sets the market and then narrows the pull the way a farm is actually defined: ZIP or city, property type, assessed-value band, and years owned. Years owned is the filter that does the most work on a farm — long-tenure owners are the ones with equity and a plausible move ahead of them, and recent buyers are not the conversation. The preview shows the record count and the credit cost before anything runs, and a List Builder pull costs 1 credit per record.
The worked number for a 1,200-home farm: 1,200 credits to pull the records is $24, and tracing those records for a phone costs 1 credit per matched record — $24 at the very most, less every record that comes back empty. A $48 ceiling on the whole farm, against a $9/month plan that includes 100 credits. Every phone that comes back carries a line-type tag of mobile, landline or VoIP, which is what separates the numbers an agent can text from the ones an agent can only call, and the identity graph behind the result refreshes every 24 hours.
Farm lists are re-pulled rather than bought once. Ownership turns over, people move, and numbers go stale — so the useful cadence is a fresh trace of the rows that failed last time, not a single enrichment held for a year.
What are the best tools for circle prospecting phone numbers?
Circle prospecting needs two separate things, and most tools only sell one of them well: a list of the owners inside a radius, and a current phone number for each of them. The listing that triggers the campaign is public; the neighbours' numbers are not.
The category splits along that seam. Prospecting subscriptions bundle a geo-targeted list with calling software and charge a monthly fee per lead type. Property-data platforms sell the radius pull with contact data drawn from a bundled monthly allotment. Ava Data sells only the data half: List Builder for the owners in the area with the property filters that define the circle, then a trace at 1 credit (2¢) per matched phone, 2 credits with email, and nothing on a miss.
Which is right depends on how often an agent circles. A listing agent running a radius pull after every new listing is tracing a few hundred records a month, where per-match pricing on a $9/month plan is the cheaper shape. An agent who calls all day every day and wants the calling software, the local presence and the list in one subscription is buying capacity, and a bundled product is priced for that. Ava Data does not place calls, so it is never the whole answer for the second case — it is the contact-data layer under whatever does.
One practical note on the output: line type matters more for circle prospecting than for any other agent list, because a radius pull of long-tenure owners returns a higher share of landlines than an expired or FSBO list does. Segmenting on the line-type tag before the campaign starts is the difference between a text campaign that lands and one that half-disappears. Stay inside the calling and texting rules that apply to you.

How does an agent re-activate an old client database?
An aged client database fails on its phone column before it fails on anything else. Names, addresses and the history of the relationship survive; the mobile number from six years ago does not. Re-activation is a skip trace against the names already in the CRM rather than a new list at all.
The mechanics are the same as any other file — export the contacts, run them through Bulk Skip Tracing, re-import the enriched CSV — and CRM enrichment covers that workflow in full, including the field-mapping question. Where the CRM is Follow Up Boss, a tag trigger can run the trace inside the CRM instead: tag the aged records, and each one gets an append-only note with the refreshed phones and emails, leaving everything already on the record untouched. Follow Up Boss is the only live CRM integration today; HubSpot, Salesforce, GoHighLevel and Zoho CRM are listed as coming soon and are not connected.
Where does the contact data come from, and how often does it refresh?
The contact data comes from public records and an identity graph, not from the MLS. County recorder and assessor files supply ownership and property attributes. The contact layer on top of them resolves a person across fragmented sources — address history, previous records, related individuals — and returns the phone numbers and email addresses tied to that person, ranked so the number most likely to connect is listed first.
That identity graph refreshes every 24 hours, which is the number that matters on an agent list. An expired or farm record is often a person who has moved and changed carriers since the property data last saw them, and a contact file refreshed on a quarterly schedule inherits exactly those stale numbers. Ava Data is not a consumer reporting agency: the data locates a property owner to start a conversation, and it is never used to decide a person's eligibility for anything.
What does skip tracing cost a realtor?
| Lookup type | Credits | Price per match | Returns |
|---|---|---|---|
| Standard — Phone Only | 1 | $0.02 | Best verified phone number |
| Standard — Phone + Email | 2 | $0.04 | Phone + email address |
| Deep Search | 10 | $0.20 | Phones, emails, related persons (spouses, siblings, associates) |
Credits are only charged when a match is returned. No match = no charge. See full plan details →
The $9/month plan includes 100 credits and covers both the dashboard and the REST API; there is no per-seat charge, so credits belong to the account rather than to an individual agent and a team works from one balance. A List Builder pull is 1 credit per record, and Digital Matching turns the same traced file into ad-platform audience files at 2 credits (4¢) per matched contact — it prepares the file and does not launch or manage the campaign. No order minimum applies to any of it: a 40-record FSBO sweep and a 40,000-record farm are priced the same per match.
Full plan details are on the pricing page.
Which agent lists does Ava Data build?
Ava Data builds agent lists from property and ownership records through 17 List Builder quick lists, and the four that matter most to an agent each have their own page:
- Expired listing leads — owners whose listing came off the market without a recorded sale. Built from property records rather than an MLS feed, which is what makes it available without a membership and what makes it slower than a daily prospecting feed.
- FSBO leads — owners selling without an agent, the most live records in property data and the classic conversion play.
- Absentee owners — owners whose mailing address is not the property. A listing that failed for an out-of-state owner is a management problem stacked on a sale problem.
- Senior owners and high-equity owners — the long-tenure half of a farm, where a move is a life event rather than a transaction.
List stacking is the step most agents skip: pull two or three of those lists for the same market and keep the owners who appear on more than one. An absentee owner whose listing expired is a different conversation from either signal alone.
What Ava Data does not do for agents
Ava Data does not replace an agent's prospecting stack, and the gaps are worth stating before anyone signs up expecting them. There is no MLS feed and no listing content — no agent remarks, no price-reduction history, no photos. There is no dialer and no calling software. There is no direct-mail printing or sending. There is no CRM: Follow Up Boss is an integration, not a product Ava Data ships.
What is left is the part those products assume: a list of the right owners and a current, dial-ready number for each one. Agents who already pay for a calling product and are unhappy with the numbers it feeds them are the clearest fit, because a $9/month plan alongside it does not require cancelling anything.
Frequently Asked Questions
Do realtors use skip tracing?
Yes. Agents skip trace the same way investors do, on different lists: expired listings, for-sale-by-owner sellers, a geographic farm, and a client database that has aged past its phone numbers. The input is a name and a property address from public records; the output is the owner's current phone numbers and email. Ava Data charges 1 credit — 2 cents — per matched phone.
Which skip tracing service should a real estate agent pick?
Pick on three things: whether you are billed per seat or per matched record, whether an unmatched record still costs you, and whether the list you want to trace has to live inside that vendor's platform. Ava Data bills 1 credit (2 cents) per matched phone on a $9/month plan, charges nothing when a record returns no match, and accepts a CSV of up to 250,000 records you built anywhere.
How much does it cost an agent to skip trace a 500-home farm?
Pulling 500 owner records through List Builder costs 1 credit each, or $10. Tracing those 500 records for a phone number costs 1 credit per matched record, so $10 at the very most and less for every record that returns nothing. Adding email to all 500 takes the ceiling to $30 in total. The $9/month plan includes 100 credits against that.
Can I skip trace an expired or FSBO list I already have?
Yes. Upload the CSV to Bulk Skip Tracing — up to 250,000 records per file, with your own column names mapped at the upload step — and the enriched file comes back with your original columns plus appended phones and emails, up to 35 export columns. Rows that return no match are not charged.
Does Ava Data give agents MLS data or listing details?
No. Ava Data is not an MLS data provider and does not resell listing content, so there are no agent remarks, price-reduction histories or listing photos here. What it holds is ownership and property records plus the contact data layer on top of them, which is the half of the job the MLS does not do for a farm, an FSBO sweep or an aged database.
Does Ava Data make the calls or send the texts?
No. Ava Data prepares the list and the contact data; it does not place calls, send text messages or run mail. Results export as a CSV of up to 35 columns, write into Follow Up Boss as an append-only note when the integration is connected, or come back through the REST API at 60 requests per minute for whatever tooling an agent already runs.
