Real Estate Wholesaling Software: The Five Jobs a Stack Has to Do

Real estate wholesaling software is five jobs, not one product: find off-market owners, narrow the list, get a current phone number, hold the pipeline, and market the contract. Ava Data, LLC covers the first three — a List Builder pull costs 1 credit (2¢) per record and a matched phone costs 1 credit, with nothing charged on a miss.

What is real estate wholesaling software?

Real estate wholesaling software is the set of tools that turns a public record into a signed assignable contract. No single product does all of it, which is why the category is confusing to shop: an all-in-one platform, a property-data subscription, a contact-data provider and an investor CRM are all sold under the same search term while doing different parts of the work.

The useful way to shop it is by job rather than by product. Each job below has a different failure mode, a different billing model, and a different answer to "do I already have this?" An operator who maps their own stack against the five jobs usually finds they are paying twice for one of them and have nothing covering another.

What are the five jobs a wholesaling stack has to do?

JobWhat it producesHow tools in this class billAva Data
1. Build the listOwners of record matching a distress or ownership signal, by state, county, city or ZIPMonthly subscription with a record allotment, or per recordYes — List Builder, 17 quick lists, 1 credit (2¢) per record
2. Stack the listThe shorter list of owners who appear on more than one signalUsually bundled into the list tool, sometimes absentYes — list stacking with Properties must match: ALL selected
3. Get contact dataA current phone number and email for each ownerPer seat, per row submitted, a bundled monthly allotment, or per match foundYes — 1 credit (2¢) per matched phone, 2 credits (4¢) with email, 10 credits (20¢) for Deep Search
4. Work the pipelineCall and text activity, follow-up cadence, deal stages, contractsPer seat per monthNo — integration only. Follow Up Boss is the one live CRM
5. Market the contractCash buyers reached, assignment closedPer seat, per transaction, or a marketplace feeNo — but the cash buyers list is a List Builder quick list

Jobs 1 to 3 are a data problem and jobs 4 and 5 are a workflow problem, which is the seam the whole category splits along. A tool that is excellent at one side is rarely more than adequate at the other, and the all-in-one products are a bet that adequate everywhere beats excellent somewhere.

How is wholesaling software billed, and which model costs least?

Four billing shapes cover almost every product in the category, and the shape matters more than the headline rate. Compare the shapes before comparing the numbers, because the same advertised price per record produces very different invoices depending on what triggers a charge:

  1. Per seat, per month. The invoice is the same whether you traced 40 records or 4,000. Cheap at high volume, expensive for anyone whose month was slow — and it charges a second time when a partner or a virtual assistant needs their own login.
  2. Per row submitted. Every record in the file is billed, including the ones that come back with nothing. On a list built from public records a meaningful share of any file will not return a usable number, and this model charges for all of them.
  3. A bundled monthly allotment. A subscription includes n lookups, overage is priced separately, and anything unused expires at the end of the month. This is the model that produces the "I pay for 5,000 and use 900" complaint.
  4. Per match found. Nothing is charged for a record that returns no match, so the invoice tracks the work that actually produced something. Ava Data bills this way, per component: a phone is 1 credit (2¢), phone plus email is 2 credits (4¢), and a Deep Search that adds the related-persons graph is 10 credits (20¢).

The comparison that decides it is per-row-or-allotment against per-match on your file, not on a sample. Head-to-head breakdowns for the specific platforms wholesalers shop against are on the PropStream, DealMachine, BatchLeads and REISkip comparison pages, and the market-wide view is in the skip tracing cost guide.

What does the data half of a wholesaling stack cost?

Lookup typeCreditsPrice per matchReturns
Standard — Phone Only1$0.02Best verified phone number
Standard — Phone + Email2$0.04Phone + email address
Deep Search10$0.20Phones, emails, related persons (spouses, siblings, associates)

Credits are only charged when a match is returned. No match = no charge. See full plan details →

The $9/month plan includes 100 credits and covers the dashboard and the REST API on the same account, so there is no per-seat charge and a team works from one credit balance. A List Builder pull is 1 credit per record. Digital Matching turns a traced file into ad-platform audience files at 2 credits (4¢) per matched contact — it prepares the file and does not launch or manage a campaign.

A worked example on a 2,000-record pull, which is a normal month for a one- or two-person operation: 2,000 credits to pull the records is $40. Stack a second quick list against it and the file that survives is materially shorter — that is the step most operators skip, and it is the one that decides the tracing bill. Tracing 600 survivors for a phone costs 1 credit per matched record, so $12 at the very most and less for every record that returns nothing. Adding email to the same 600 takes the ceiling to $24. No order minimum applies at any size: a 40-record file and a 40,000-record file are priced the same per match.

Full plan details are on the pricing page.

Do you need an all-in-one platform or separate tools?

The answer turns on how predictable your monthly volume is, not on which product has the longer feature list. An all-in-one platform prices capacity: you pay a flat monthly figure and the included allotments are worth having if you consume them. That is a good trade for an operator doing the same volume every month and a poor one for anyone whose pipeline arrives in bursts.

Separate tools cost less when volume is uneven, because the per-match half of the stack bills nothing in a slow month. They cost more in attention: two or three logins, a CSV moving between them, and field mapping to get right once. The practical middle that most operators land on is a CRM they like for jobs 4 and 5 and a data layer underneath it for jobs 1 to 3, which is why the bulk CSV path and the REST API both exist — a 250,000-record file per upload, or 60 requests a minute into whatever the operator already runs.

One thing worth checking before committing to any platform: whether the list you want to trace has to live inside it. Products that trace only the lists they generate make a county export, a title rep's file or a driving-for-dollars route harder to use than it should be.

What Ava Data does not do in a wholesaling stack

Ava Data is the data layer and not a wholesaling suite, and the gaps are worth stating before anyone signs up expecting them. There is no CRM — Follow Up Boss is an integration, and HubSpot, Salesforce, GoHighLevel and Zoho CRM are listed as coming soon rather than connected. There is no dialer and no calling software. There is no direct-mail printing or sending, no comping or ARV tool, no contract generator, and no buyer marketplace or dispo engine. Ava Data is not an MLS data provider and does not resell listing content.

Ava Data is also not a consumer reporting agency: the data locates a property owner so a conversation can start, and it is never used to decide a person's eligibility for anything. What is left is the part every other product in the stack assumes somebody else has already done — the right owners, and a current number for each of them. The identity graph behind that contact data refreshes every 24 hours, which is what keeps a list worked over months from having to be re-bought to be current.

Frequently Asked Questions

What software do you need to wholesale real estate?

A wholesaling stack covers five jobs: a list source for off-market owners, list stacking to narrow it, a contact-data layer to reach the owners, a CRM to hold the pipeline, and a way to market the contract to buyers. Ava Data, LLC covers the first three — List Builder pulls a list at 1 credit (2¢) per record and a matched phone costs 1 credit.

Is there all-in-one software for wholesaling, or should you buy separate tools?

All-in-one platforms bundle the five jobs behind one login and one monthly fee, which suits an operator whose volume fills the included allotments every month. Separate tools cost less when volume is uneven, because a per-match data layer bills nothing in a slow month. The deciding question is whether your monthly volume is predictable, not which product has more features.

How much does wholesaling software cost per month?

The data half can be quoted exactly: Ava Data is $9 a month including 100 credits, then 1 credit (2¢) per matched phone, 2 credits (4¢) for phone plus email, and 10 credits (20¢) for a Deep Search. Nothing is charged on a record that returns no match. CRM, dialing and dispo tools are separate subscriptions and price on their own terms.

Can you wholesale real estate without paying for software?

The list half is possible by hand — county assessor and recorder records are public, and plenty of wholesalers start by pulling them one county at a time. The contact half is where free sources run out, which is covered in full on the free skip tracing page. What free methods cost is time per record, and that is the trade to measure.

Does Ava Data include a CRM, a dialer, or dispo tools?

No. Ava Data is the data layer: lists, list stacking, and contact data, exported as a CSV of up to 35 columns, written into Follow Up Boss as an append-only note, or returned through the REST API at 60 requests per minute. Follow Up Boss is the only live CRM integration. There is no dialer, no mail engine, no buyer marketplace and no MLS feed.

What is the cheapest way to build and skip trace a wholesaling list?

Pull the list, stack it, then trace only the survivors. Pulling 2,000 records in List Builder costs 2,000 credits, or $40. Stacking two quick lists with Properties must match set to ALL selected typically cuts the file hard before any tracing is paid for, and tracing what remains costs 1 credit per matched phone with nothing charged on a miss.

Build the list, then trace what survives the stack

1 credit — 2¢ — per matched phone. No order minimum, no seat charge, nothing billed on a miss.
